Job Overview:
We are seeking highly organized and detail-oriented Executive – Documentation to manage and maintain the documentation processes within our organization. This role will be responsible for ensuring the accuracy, quality, and timely delivery of all required documents while supporting internal teams and ensuring compliance with company standards.
Key Responsibilities:
· Liaise with regulatory agencies (NAFDAC, SON, NNRA, EUC, NERC, NESREA) for permits and clearance.
· Submit TROs on time and confirm BL on time.
· Apply for form M and follow up with the supplier for shipping documents.
· Liaise with the bank for PAAR and submission of exchange control documents.
· Ensure duty assessment is completed one day after the Pre-Arrival Assessment Report (PAAR) and rotation number is allotted.
· Handle, organize, and maintain both physical and electronic documentation, ensuring easy retrieval and compliance with company policies.
· Obtain an accurate checklist and check all documents to avoid errors, identify missing documents, and/or identify potential issues.
· Manage customs documentation for clearing and forwarding. Establish and maintain a filing system to organize and store documents, tracking updates and revisions.
· Liaise with accredited clearing agents for the clearance of goods at destination ports of entry.
· Coordinate with shipping companies and terminal operators on all issues with consignments.
· Administer import procedures and documentation and maintain effective liaison with Nigerian Customs and 3PL logistics service providers.
· Manage demurrages and port charges within specified norms.
· Apply and get refunds for shipping and container deposits.
· Process and organize fast-track clearing for the group.
· Prepare daily progress reports and send to Head Office before the close of business.
· Process and apply for Free Zone documentation and clearance with NEPZA, OGFZA, and other free zone agencies.
Qualifications:
• Bachelor’s degree
• Experience in documentation or administrative support roles.
• Excellent written and verbal communication skills.
• Strong attention to detail and high level of accuracy.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Share-point and Power app.
• Familiarity with document management systems and practices is a plus.
• Good knowledge of import procedures.
• A solid understanding of the Nigeria Customs Service and clearance procedures.
• Ability to assign HS codes and customs classification of oil-related equipment and chemicals.
• A good understanding of port operations and procedures of the Nigeria Port Authority.
